How Znable handles your company's information. Last updated 8 October 2026.
What Znable keeps
- Accounts: each person's name, email address and a scrambled form of their password, invitations sent, email choices, and for each sign-in, the network address and browser it came from.
- Your company's material: the documents you upload, the passages Znable splits them into so it can search them, and the training drafted from them.
- Learning records: conversations with the tutor and the coach, answers and how they were marked, progress on each skill, goals, sign-offs, requests to look at a mark again, and the reason for every step Znable chose.
- Usage: how much each part of Znable used the AI services, so your company's monthly budget can be kept.
Voice
When someone talks instead of typing, the recording is sent to be turned into text and then dropped. Recordings are never stored. The text is saved in the conversation, as if it had been typed. Every conversation shows a notice before the microphone is turned on.
Who sees what
- Each company's information is kept apart from every other company's, in the database itself.
- Managers see progress, marks, why a step was chosen, and a goal as a number. They do not see conversations with the tutor or the coach. When a learner asks for a mark to be looked at again, their manager sees that one question, the answer and why it was marked as it was. When a learner asks the tutor something the company's documents don't answer, managers see the question, so they can add what's missing.
- An interview with an expert is saved as one of the job's documents, which the company's owners and managers can read.
- No lesson or question drafted by a model reaches a learner until a manager has approved it.
- Znable's own team, to run the service, sees each company's name, plan and AI use, counts such as how many people are learning, the names of its jobs, and the file names of documents that couldn't be read, which can include a person's name if the file is named after them. It doesn't see what documents say, the training itself, or anyone's conversations, answers or goals.
The services Znable uses
Znable sends information to these companies to do its work, and to no one else:
- Anthropic (Claude): drafting training, tutoring, coaching, marking answers and interviewing.
- OpenAI: indexing documents so they can be searched, turning speech into text, and reading replies aloud.
- Resend: sending email, such as invitations, password resets and the weekly summary for managers.
- DigitalOcean: the servers Znable and its database run on.
Anthropic and OpenAI do not use what is sent through their services for businesses to train their models. They may keep it for a limited time to watch for misuse, as their terms set out.
Email and cookies
Znable emails people only about their account: invitations, links to confirm an address or reset a password, and, for owners and managers, a summary on Monday mornings that can be turned off from the email or the This week page. It uses one cookie to keep you signed in, and no advertising or tracking cookies.
Getting a copy, or deleting it
A company's owner can ask for a copy of the company's information, or for all of it to be deleted, by emailing hello@znable.ai.
